How we handle enquiry details, application documents and business-confidential RPSL material.
Information we may collect
When you contact RPSL Desk India, we may collect your name, company name, email address, phone number, WhatsApp number, city, application stage, proposed seafarer capacity, office status, bank guarantee status and details of any RO/DSEO/DG Shipping query already received.
Documents you may share
During an engagement, applicants may voluntarily share company records, incorporation documents, PAN/TAN/GST records, MOA/AOA, bank guarantee drafts, Form III, Form V, Form VI, Form VII, manning agreements, CBA, sample SEA, P&I cover, MLC certificates, vessel documents, office lease documents, technical-personnel records, policies, inspection checklists and query correspondence.
How we use information
- Respond to enquiries and schedule readiness calls
- Assess application readiness and document gaps
- Prepare proposals, scope notes and fee estimates
- Support document review, query responses and inspection readiness
- Coordinate with authorized reviewers or professionals involved in the engagement
- Maintain internal records of work performed and client communications
Confidentiality and document handling
Application documents are handled as business-confidential material. We do not sell enquiry information or client documents. Access is limited to people involved in responding to the enquiry or delivering the agreed service.
Sensitive seafarer information
Applicants should avoid sending personal seafarer records, medical records, passport copies, CDC records, employment records or next-of-kin details until an engagement is confirmed and the document-sharing method is agreed. If such information is required for review, share only what is necessary for the specific task.
Third-party sharing
Where required for the engagement, information may be shared with authorized maritime reviewers, legal reviewers, certification consultants, technical professionals or other service providers assisting with the file. We do not authorize unrelated use of such information.
Data retention
We may retain enquiry and engagement records for business, compliance and reference purposes. Applicants may request deletion of non-essential information, subject to legal, accounting, contractual and operational retention requirements.
Security
No digital transmission method is perfectly secure. We use reasonable care in handling documents, but applicants should avoid sending unnecessary sensitive data over open channels. Password-protected files or controlled shared folders may be used for sensitive engagement material.
